Run an event
For the person at the laptop on event day. Creating the event takes 2 minutes. On the day, you click one button to start and one to end.
Open Event Mode in the left column, or go to saydi.ai/console/event-mode. My events lists your events by month. The tabs at the top filter by Scheduled, Live and Ended.
Create the event
- Click Create Event at the top right.
- Give it a name. Attendees will see this name on their phones, so use the real event title.
- Pick the Join Date: the day, then the start time.
- Set the Duration (in 15-minute steps) and the estimated number of attendees. This reserves seats for them.
- Original Language is what the speakers will use. Target Language is the default for attendees; they can still switch to another language on their phone. Saydi also picks up other languages spoken on stage.
- Voice: leave it on if attendees should be able to listen to the translation through earphones, not just read it. Choose a voice below. Turn it off if you only need subtitles; it's cheaper.
- Check the credit cost at the bottom of the form, then click Create.
What it costs
The event appears in the list with a 6-digit code and the status Scheduled. Need to change the name, time or languages before it starts? Open the event and click the pencil icon next to Saydi Host.
Share the QR code and link
Click the event to open its Host page. The panel on the right has everything the organizers need:
- The QR code. Click Download QR and send the image to whoever makes the standee, the slides and the printed programme.
- The 6-digit code, for anyone who'd rather type than scan.
- Copy link, to paste into an email or a chat group.
The panel also shows how many people are watching right now. Need more seats than you planned? Add more seats is right there.
Want the event to know your speakers' names and industry terms? Turn on AI Context at the top of the Host page.See AI Context.
On the day
| When | What to do |
|---|---|
| Doors open | Open the Host page. Check the microphone at the bottom left is the feed from the mixer, not the laptop mic. See Stage tech. |
| The first speaker starts | Click Start Talking. The status changes to Live and attendees' phones switch from Waiting for the host to live subtitles. |
| A break | Click Pause. Attendees see a paused notice. Click Resume when you're back. |
| A speaker uses another language | Nothing. Saydi picks up the language on its own. |
| The last session ends | Click End event, then confirm. Attendees are disconnected and the event can't be restarted, so only do this when it's really over. |
The screen also has Full screen and Mini window (for a big screen in the hall), and Caption PiP, which floats the captions over other apps.
Event day, hour by hour
| When | Operator does |
|---|---|
| T-60 min | Laptop on power and wired LAN. Sign in. Open the event's Host page. Plug in the mixer feed and pick it under the mic button. Speak from the stage: sound bars move. |
| T-45 | Open the attendee link on 2 phones (Wi-Fi and mobile data). Check the big screen if used: text size, readable from the back. |
| T-30 | Confirm with the MC the QR line and when it's said. Confirm who the venue's technical contact is. Backup laptop signed in and nearby. |
| T-10 | Host page open, mic selected, hands off the keyboard. Don't start yet: starting early spends credits on silence. |
| Start | First speaker steps up → click Start Talking. Watch the first 2 lines appear on a phone. |

| End | Last session over → End event → confirm. |
| After | Open the session in History, Export → Formatted, send it to the organizers. |
